Planning a wedding across continents requires meticulous organization. Here's a realistic timeline based on my experience.
12 Months Before - Finalize wedding dates (consider Indian holidays and auspicious dates) - Book venue in India (popular venues fill up fast) - Start researching vendors: photographer, decorator, caterer. Fix a wedding planner if you're considering one and build a mood board for outfits.
Pro tip: Wedding planners sometimes help to negotiate venue rates, check with yours if they do!
9 Months Before - Finalize guest list and send save-the-dates. Start building a wedding website which will include the invitation, RSVP, travel and dress-code information. Book your makeup artist and photographer on priority and start getting in touch with designers for all event outfits.
Pro tip: Always tell designers your wedding is a month before the actual date to account for delays and last-minute alterations.
6 Months Before - Order invitations (allow time for international shipping), book flights for yourself and immediate family, finalize other vendors such as mehendi artist, DJ. Finalize decor theme for events and close out outfit discussions.
3 Months Before - Confirm all vendor bookings and arrange for someone in India to coordinate final details. Plan your travel itinerary (arrive at least 15 days early).
1 Month Before - Ship any items you're bringing from the USA . Create detailed day-of timeline - Confirm guest accommodations - Pack strategically (ship heavy items ahead)
Most Important: Designate a trusted family member or friend in India as your on-ground coordinator. They can handle last-minute vendor communications and logistics while you're still in the USA.
